VENUE QUESTIONS

How do I book my civil ceremony at Clock Barn?Once you have booked your wedding date at Clock Barn, you should contact Hampshire Register Office to book a registrar to conduct your marriage ceremony at the Barn as soon as possible. Please call 0300 555 1392 (Monday to Friday 9am to 4pm) or visit the Hampshire County Council website for more information.
Are we able to have just our ceremony at Clock Barn?When you hire the beautiful Clock Barn, the venue is exclusively yours from 10am to midnight. This includes an optional ceremony and the wedding breakfast or party. Hiring Clock Barn always includes these options at a minimum.
How many guests can I invite to my wedding breakfast?Clock Barn is licensed for ceremonies in three areas: the Stable Room (50 guests), Dance Floor (85 guests) and Main Barn (up to 160 guests). Up to 160 guests can be seated for dining, with 200 guests for your evening party. These numbers include the bride and groom.
Where can I take my wedding photos?From the moment you arrive, along the Clock Barn driveway you will see some fantastic backdrops for your photographs. As part of the venue hire, you will have exclusive use of the seasonally flowering Clock Barn garden, which is a firm favourite for those all-important group shots! In addition, you will have access to a beautiful adjacent paddock featuring a unique stable and other interesting photographic backdrops.
Is the Barn warm in the winter (and cool in the summer)?The Barn has an efficient heating system which warms it up quickly during cold winter months. On warmer days, the same system keeps the Barn cool, and the Barn doors open giving you access in to the garden.
Do you have any disabled facilities?Reducing the walk from the car park, disabled guests may be dropped off right outside the Barn. The floor in the Main Barn is completely flat, while the Stable Room can be accessed from the outside. We have a disabled loo on the same level as the Main Barn area.
How should my guests access Clock Barn? Our full directions can be found online, bringing your guests to the main driveway just outside the village of Whitchurch. Our Sat Nav postcode is RG28 7RB. We have ample space for all your guests to park in our car park. They are welcome to leave cars overnight but do need to collect them the following morning between 8am and 11am. Clock Barn does not take any responsibility for any vehicles or their contents left in the car park area. Local taxi details can be found on our online suppliers list, and the nearest train stations are Whitchurch, Micheldever and Winchester.
What music can we have at Clock Barn?We are delighted to host live bands at Clock Barn and simply ask that they are aware of our noise limit, and that they hold and can provide us with their public liability insurance and PAT certificates. In terms of size, a four-piece band is the biggest that the Barn can comfortably accommodate. Many couples choose to have an acoustic musician such as a harpist or string quartet play during their ceremony or wedding breakfast. We also have an in-house background music system should you wish to create your own IPod playlist as background music.
Do you have a room for the wedding couple to use?As part of our accommodation package you have access to The Stables, our preparation area from 9am until your ceremony time. However, if accommodation is not something you would like to book, then as part of the venue hire, the barn preparation room is all yours from 10am on the morning of your wedding. It is a great space to change in before the ceremony takes place, and also where you will meet the registrar before the ceremony. You are welcome to use this room throughout the day, perhaps to freshen up or change for the evening party.
Can we have confetti and fireworks?We are very happy for natural flower petals to be thrown in the garden but unfortunately can’t allow them within the Barn. As Clock Barn is situated among farmland and near thatched buildings, we are not able to allow fireworks, sparklers or sky lanterns.
Can we use bubbles?Unfortunately we don’t allow bubbles within the Barn. However, we are happy for them to be used in our garden.
Can I have bunting put up in the Barn?At Clock Barn we can provide complimentary cream bunting for the Main Barn area; otherwise you may provide your own bunting!
Are candles permitted within the Barn?We are happy for candles to be lit on the round dining tables in the Main Barn provided that they are supplied in a sturdy and enclosed holder and a maximum of five candels per table. We ask that if you wish to have candlelight in the top room or the Dance Floor area, you use battery-operated candles, which can easily be bought online or supplied by your florist. We also ask that candles are not used around the outside walls of the Barn as this is clearly a fire risk.
Is smoking permitted?Due to government legislation, smoking is not permitted within Clock Barn. Guests may smoke outside in our garden area where we provide ashtrays.
Do you have any highchairs?Yes, we can provide up to four high chairs. Please do let us know if you require these so we can ensure they are available for you on your wedding day.
What time will my evening party end?Our licence for music and alcohol service ends at 11.30pm, with guests departing by midnight. You don’t need to worry about taking everything away at the end of the evening. Our expert on-site catering team will place any of your left over items (such as your guest book and flowers) into The Storehouse ready to be collected the following morning. Please note that everything is left entirely at your own risk. Clock Barn cannot take any responsibility for items left within Clock Barn, a vehicle or the Storehouse.
Should I take out insurance?As part of our terms and conditions, we recommend that every couple take out wedding insurance to protect yourselves and the money you have spent on your big day.
Are we able to use drones at the venue? Unfortunately, drones are not permitted at Clock Barn. There are plenty of stunning backdrops both indoors and outdoors for photo and video opportunities to get amazing footage of your day.

FINE FOOD QUESTIONS

What catering packages are available?We have Standard, Deluxe and Premier 3-course packages available all year-round. Our 2-course Midweek package is available year-round, Monday to Thursday inclusive, other than the month of August, 24th December, 2nd January and on bank holidays. If you would prefer a more casual dining experience, it is possible for the Deluxe package to become a more informal service style. The Events Team would also be happy to work with you to create a bespoke package if you’d like something a little different.
Do you have any minimum catering fees?The following minimum charges apply to all bookings:
Saturday - 70 x chosen package price
Friday and Sunday - 60 x chosen package price
Monday to Thursday - 50 x chosen package price
Midweek package - £3,000 + VAT for 2023
What drinks are included in the Standard, Deluxe and Premier menu packages?Two to three glasses of reception drinks per person (one reception drink per person if you select the Midweek package), up to half a bottle of wine per person and a glass of bubbly for the toast per person. We also serve complimentary juices and still and sparkling water during the drink’s reception and throughout the meal.
Can we order additional bottles of wine?Yes, you can order additional wines to be served during your meal.
Can we supply our own wine?All the various drinks required are included in your chosen menu package. Our licensed bar will open straight after the drinks reception. All catering is provided in–house and it is not possible to bring in any food or drink to the venue (with the exception of traditional wedding cakes).
Is it possible to choose drinks from the other packages if we select the Deluxe package?Yes, we are flexible with the menus and are happy to accommodate your selection.
Is it possible to choose a couple of dishes?We recommend that you choose one starter, one main course and one dessert. A choice menu is available at an additional charge.
Can we create our own menu?Yes, the Catering and Events Team will work with you to create the perfect bespoke menu on your wedding day.
If we choose the Standard package, can we have canapés? Yes, you can add any 3 canapés from our menu for an additional £8 per person. If you select the Midweek package, you can also add canapés for an additional £11 per person.
How many canapés do you suggest?We recommend at least three canapés per person.
I have a copy of an old menu brochure but would like a dish from the new menu brochure. Is this possible?You can choose dishes from any of our brochures, the package price that you were quoted when you paid your catering deposit secures those prices for the year that you booked and that menu. If you choose a dish from a new menu, you could be subject to a menu price increase.
Can you cater for guests who are vegetarian or have food allergies?Yes, as everything is freshly prepared on-site we are able to cater for all dietary requirements and any guests with food allergies, providing we are made aware of them prior to your wedding day.
Do you have food options for children?We have included a delicious and healthy selection of children’s menu options. If they are aged between two and ten years old, we offer a three-course children’s meal option. Guests aged eleven or over are charged at the full adult package price. Orange juice, squash and mineral water will be available throughout.
Should we provide our suppliers with a meal?We recommend that you provide your contractors with a meal if they will be spending more than five hours at your wedding. We have two options available; we can provide a two-course meal from your wedding breakfast menu.
Do you have a cake stand and knife?Yes. Please speak to the Events Team about the cake stand and knife when discussing your menu.
Can I bring in my own caterer, or a chef who caters for a particular religion?We have expert on-site caterers at Clock Barn. With their own kitchen and vast experience of catering for events at Clock Barn, they provide an exceptional dining experience for every wedding here. They specialise in cooking British European food and will be delighted to discuss your requirements in order to create the perfect menu. While they love to incorporate ethnic fusion ideas to their dishes, they cannot offer menus for specific religions.
